Organization and Project Background

The World Rehabilitation Fund, Inc. (WRF) is an international humanitarian non-profit organization headquartered in New York with a mission “To enable individuals around the world with functional limitations and participation restrictions achieve community and social integration through physical and socio-economic rehabilitation and advocacy and to prevent disability and reduce disadvantage.”

In Lebanon, the programs of WRF started in the early 1980s with the provision of training and material and technical assistance to concerned national (governmental and non-governmental) organizations, academic institutions, professional groups, and community-based rehabilitation institutions.

WRF/Lebanon is implementing a Project titled “Filling Assistance Gaps in Basic Rehabilitation Services for Refugees from Syria With Disabilities and Their Peers in Host Communities in Lebanon”.

Job Purpose:

The primary purpose of the “Administrative Support Officer (ASO)” role in the Project is to provide assistance to the Operations Director and the Administrative and Operations Officer (AOO). Responsibilities include:

  • Assisting with the processing of beneficiaries’ data and information using the KOBO platform or other data collection and processing tools.
  • Supporting the completion, sorting and preparation of beneficiaries’ files for assistance decision-making.
  • Providing administrative support to the Project as needed.
  • Supporting the implementation of the referral system adopted by the Project.
  • Assisting in office management tasks.
  • Assisting in Monitoring, Evaluation, Accountability, and Learning (MEAL) activities.
  • Performing any other Project support tasks as required and appropriate.

Main Tasks:

The ASO will be responsible for the following tasks:

Administrative Support:

  • Answering landlines and office mobile phones.
  • Receiving and orienting visitors.
  • Arranging field trip logistics, including coordinating the use of WRF vehicles.
  • Keeping records of team members’ office and field presence.
  • Supporting administrative and office work, including photocopying, scanning, filing, and archiving.
  • Preparing and facilitating meetings in the meeting room, including the use of air conditioning, LCD projector, charts, and stationery.
  • Supporting the processing of incoming and outgoing mail and correspondence.
  • Monitoring cleaning staff and maintaining office cleanliness at all times.

 

Project Implementation:       

  • Downloading beneficiaries’ files.
  • Vetting beneficiaries, partners, and suppliers.
  • Updating and checking beneficiaries’ photos.
  • Following up on signatures of project documents by concerned staff.
  • Supporting the implementation of the referral system adopted by the Project.
  • Carrying out other duties as needed and appropriate.

 

Project Monitoring and Evaluation (M&E) and Reporting:

  • Assisting with the adopted MEAL Approach as needed.
