Job Purpose

The Information Management assistant provides general data management and reporting support to the program department. The aim of the position is to ensure high standards of accountability and visibility on project progress and enable proper centralization of data relating to the project activities.

The position will support all members of the program team through provision of relevant data, whilst at the same time collecting and storing data and records and assisting in providing regular reports to the respective Managers as required.  He/she will work closely with the MEAL team to assist in developing appropriate tools and systems, and ensure they are adapted to their needs.

Main Responsibilities

Participate in the development, implementation, and review of information management needs and solutions.

Play a lead role in the design, development, management and improvement of data management systems including database and spreadsheets, along with related processes for data collection, cleaning, and verification.

Provide information management services to support population data management activities including population estimation, information flows from established systems, movement tracking, standard setting/promotion and dissemination.

Document and maintain information management, records retention and archiving processes and procedures, including the training and support of staff in their use.

Organize and manage data input from data collection forms and conduct an initial analysis of the data.

Conduct training for outreach and PHCCs staff to make sure that the process of data entry is going smoothly.

Update 4W matrix with information and data from the relevant sector.

If necessary, translate information from Arabic to English or vice versa.

Review the Phenics data submitted by the PHCC staff, and identify any missing information in data input by providing monthly reports.

Support and participate in analytical work by processing data and information in a suitable format.

Promoting the collection of baseline data and indicators.

Minimum Hiring Requirements 

University degree

At least 2 years’ experience

At least 1 year working experience at NGO

Very good command of the English language

At least 6 months’ experience in a similar position

Proven skills to analyse statistical information

Possesses Advanced Excel skills (e.g. pivot tables, functions, etc.)

Ability to translate planning-specifications into technical briefs for data capture and analysis, and vice versa

Ability to compile and holistically analyze diverse datasets

Demonstrated information management skills

Demonstrated understanding of different data collection methodologies

Understanding of relational data theory

Experience in web design and software development and programming is an asset

Excellent written and oral presentation skills
