POSITION TITLE: PCL Field Officer
REPORTING TO: PCL Project Coordinator
COVERAGE AREA: North Lebanon
STATUS: Full-time
PERIOD: 8 months renewable based on performance & availability of funds
Position Summary
The Field Officer in the North will work closely with the Project Coordinator in North Government in coordination with the procurement officers and the Finance & Admin Manager. This person will be responsible of the quality of implementation of the Peaceful Coexistence in Refugee Hosting Communities in Lebanon and will:
- Work on the day to day project implementation in close coordination with the Project Coordinator
- Support the Project Coordinator in the outreach of beneficiaries and the Monitoring & Evaluation of the project
- Ensure that good coordination with all project’s stakeholders is maintained
The Field Officer will be reporting to the Project Coordinator
Responsibilities
Project & Initiative implementation and quality:
- Coordinate with initiative participants & ensure a timely progress of their operation
- Organize sessions/ activities and coordinate with all parties involved
- Attend and support most implementation sessions in the region to ensure quality
- Gather testimonials from beneficiaries
- Manage contracts, invoices, & funds for smooth project operation
- Manage the transportation, track and updated the attendance sheets of the beneficiaries
- Manage the logistics needed through the project & initiatives implementation including: 1) Venue rental, 2) Food & Refreshments, 3) Transportation, 4) Branding, …
Community Partners and beneficiaries Outreach:
- Support the Project Coordinator & INJAZ team in identifying community partners for beneficiaries Outreach
- Ensure that good communication & coordination is maintained with community partners (current and identified) & municipalities
- Attend meetings with stakeholders as needed
- Conduct project presentation
- Coordination with partners regarding projects & initiative progress
- Refer candidates to INJAZ programs/projects
Monitoring & Evaluation
- Collect data for the implemented program (pre-post tests, attendance sheets, pictures, testimonials, trainers’ feedback) for reporting purposes
- Update database, information sheets and insert data collected on reporting sheets
- Assure that all information sheets and delivery schedule are updated at all times
Logistics & Administrative Support
- Coordinate and manage on a daily basis the food of the activities
- Ensure adequate organization of transportation
- Arrange the Invoices and Receipts of the suppliers and provide them to the finance department on a bimonthly basis
- Assist the procurement officers in identifying and managing project related suppliers and service providers in the region
- Ensure that delivery rooms are well equipped and ready for the implementation
- Ensure availability of all program materials and coordinates with Project Coordinator on printing requirements
- Organize with the Procurement team & the Project Coordinator the project’s logistics
- Oversee that North area inventory is always up to date
Procurement:
- Support the Procurement officers in gathering quotations, invoices, legal documents, and supporting documents for any supplier or service provider
- Assist in identifying new potential suppliers
- Support in the tracking of the items needed by the beneficiaries
- Support in organizing the delivery of items to the beneficiaries
Others:
- Attend team meetings
- Undertake other related duties, as assigned or requested by the Project Lead
- Check all required documents (Leaves, EM, TM)
Position Qualifications:
- Bachelor’s degree in Business Administration, Social Science, Developmental Studies, Public Administration or another relevant field
- 1-2 years of professional experience in education, business or social sector including management experience.
- Sincere interest in the mission of INJAZ Lebanon and in entrepreneurship.
- Knowledgeable of the ecosystem in North (Education, NGOs, Community centers)
- Strong relationship-building and presentation skills
- Ability to work independently and under pressure
- Highly organized and motivated, ability to multitask in a timely manner, team player
- Excellent written and spoken English and Arabic
- Motorised
